General Survey Creation Best Practices
Things to Consider Before Doing a Survey
As a potential surveyor, it is your responsibility to consider the needs of employees
and respect their time and efforts. Before you plan and deploy a survey, please
review the following questions to determine deploying your survey.
- Has similar data been collected recently?
- Are you prepared to act on the results of your survey?
- How will the survey results tie into the overall project/program?
- Who is the executive sponsor for the survey/project?
- Who is the target audience?

Here are some best practices for developing and deploying surveys.
Developing Instructions
- Provide clear instructions to employees in your introductory text
- Clarify whether or not the survey is anonymous and how the results will be used
- Set expectations on how long the survey will take to complete
- Clearly state what the deadline is to complete the survey-recommended length of
time a survey should remain open is 1-2 weeks
Developing Questions
- Only ask questions on topics you intend to act on
- Ensure that the questions are clear and action oriented
- Do not combine multiple concepts in a single question
- Try to keep the length of the survey as short as possible while still capturing
all of the information you need
- Ask demographic questions only for the areas where you need that information (Reporting
by demographic areas requires a statistically valid number of responses-this will
affect your sample size)
Survey Deployment
- Test your survey before you launch it to ensure it is working properly
- Include a thank you message to employees in both the introduction and closing text
of your survey
- Provide the name and email address of a contact in case employees have questions
or problems completing the survey
- Use a sample of the target population, if possible-statistically valid results can
be obtained with as few as 100 responses. See Sample size calculator for guidance on sample sizes
- Deploy surveys to large audiences (>50 people) through Reader's Choice (Note: this is an Internal HP URL)
Tips for a High Response Rate
Here are some tips to maximize the responses to your survey.
- Don't deploy a survey on Friday or weekend
- Monday or Tuesday is the preferred release date
- Don't deploy survey during major company events or over holidays
- Last week of quarter, week of earnings, holidays
- Check corporate calendar and regional holiday schedules
- Clearly explain purpose of the survey in an introductory message
- Include what will be done with the results
- Have survey come from an individual vs. a generic mailbox
- Provide a personal contact for follow up questions
- Allow participants to see the results of the survey
- Publish or share at large forum
- Provide a high-level summary for sensitive topics
